This Is Not a “Keep the Office Busy” Job

This is a mission-critical Office Manager role supporting two growing service brands — Pest Hunters and Humbug Lighting — under AER Home Services.

We are entering our busiest growth phase (summer pest season and fall/winter lighting season) and are looking for an experienced Office Manager who thrives on ownership, accountability, and building systems in a startup environment.

What This Role Is (and Is Not)

This role is administrative and operational first.

It is not a hard sales position.

That said, there is a customer-facing sales element to the job:

  • Answering inbound customer inquiries

  • Educating customers on our services

  • Moving customers to the next step:

    • Scheduling an appointment or consultation

    • Generating a quote

    • Coordinating follow-up

Success is measured by execution, organization, responsiveness, and follow-through — not aggressive selling.

What You’ll Own

As Office Manager, you will be responsible for keeping the business running smoothly day to day.

Key responsibilities include:

  • Answering and routing inbound customer calls (VOIP system)

  • Managing job scheduling and rescheduling

  • Supporting upset customers and resolving issues professionally

  • Managing the CEO’s calendar and inbox

  • Maintaining and improving our CRM systems:

    • ServiceMinder (Lighting)

    • RealGreen Service Assistant 5 (Pest)

  • Assisting with operational documentation (reviewing, editing, and wordsmithing SOPs)

  • Managing our internal company portal (Connecteam):

    • Creating forms

    • Updating team information

    • Posting updates

  • Supporting basic social media presence and updates

  • Creating reports and keeping leadership informed

This role touches operations, finance, admin, and customer experience.

Authority & Empowerment

You will be trusted to:

  • Reschedule jobs as needed

  • Handle customer issues end-to-end

  • Over time (with training), issue refunds or credits without escalation

  • Identify and recommend improvements to systems, processes, and procedures

We operate on EOS, so expectations will be clear:

  • Weekly, monthly, and quarterly “rocks”

  • Clear outcomes, not micromanagement

  • Accountability over activity

What Success Looks Like in the First 90 Days

By Day 90, you should:

  • Be fully comfortable in both CRM systems

  • Confidently manage the CEO’s calendar and inbox

  • Have contributed to operational documentation

  • Be actively maintaining our company portal

  • Independently handle scheduling and customer communications

  • Thoughtfully suggest improvements to how we operate

What We’re Looking For

Required

  • Prior Office Manager, Operations Coordinator, or senior administrative experience

  • Strong organizational and follow-through skills

  • Comfortable juggling multiple priorities

  • Clear, professional communication

  • Ability to work independently and manage your time effectively

Preferred (Nice to Have)

  • Experience with CRM or field service software

  • Familiarity with QuickBooks

  • Experience using Microsoft Office or Google Workspace

  • Familiarity with pest control is a bonus (not required) — understanding common services such as:

    • Perimeter pest control

    • Rodent control

    • Recurring service plans

  • Background in home services, trades, or fast-paced environments

No prior pest control experience is required — we will train the right person. Familiarity simply helps you get up to speed faster.

Work Style & Flexibility

This role includes:

  • Regular meetings and work sessions at our temporary downtown Clarksville office

  • Flexibility to work from home when needed

That flexibility comes with an expectation:

Work from home is supported as long as the job is getting done.

If you need constant direction or avoid hard conversations, this role will not be a fit.

Compensation & Upside

  • $17–$19/hour (based on experience)
